Job Description

Responsible for project cost control documentation, requisition submittals, billing and invoice review, reconciliations, and project financial tracking for all Legacy Asset Management and Corporate Remediation projects at the Massena West Plant Site. Responsible for ensuring proper and timely documentation regarding environmental permit requirements. Provides administrative support to Legacy Asset Management and Corporate Remediation staff.

Major activities / Key challenges
  • Support Remediation and Legacy activities by tracking, assembling expenditures / invoices for approval by the Legacy or Remediation manager.
  • Provide administrative assistance in scheduling and facilitating on-site / off-site activities in support of Legacy and Remediation activities.
  • Conduct safety orientation training and escort visitors while onsite.
  • Tracking and forecasting Remediation and Legacy project costs.
  • Tracking submittal requirements, distribution of team/project reports, and other correspondence.
  • Assemble data for monthly, quarterly and annual reports
  • Assemble estimates for budget review and submittal
  • Generate and track requisitions through the Oracle and ASSCIR systems for work performed under the Legacy and Remediation groups
  • Ensures timely submittals by contractors regarding hours worked and safety data.
  • Assemble and maintain weekly Remediation and Legacy Staff Task List
  • Manage scrap metal and auction material MSO process and all associated reporting and documentation.
  • Coordination of Remediation and Legacy documents to ensure proper distribution.
  • Develop administrative procedures for local Remediation and Legacy required documentation.
  • Coordinates administrative requirements between Arconic and multiple outside consultants and contractors.


Basic Qualifications

  • High school diploma or GED from an accredited institution.
  • Minimum of 3 years' work experience in construction administration.
  • Employees must be legally authorized to work in the United States. Verification of employment eligibility will be required at the time of hire. Visa sponsorship is not available for this position.
  • This position is subject to the International Traffic in Arms Regulations (ITAR) which requires U.S. person status. ITAR defines U.S. person as an U.S. Citizen, U.S. Permanent Resident (i.e. 'Green Card Holder'), Political Asylee, or Refugee.

Preferred Qualifications

  • Bachelor's or Associate's degree from an accredited institution preferred.
  • 5 years' prior work experience in construction administration.
  • Experience in Oracle and ASSCIR systems preferred.
  • Experience in environmentally impacted real estate helpful.
  • Interpersonal and public-relations skills preferred
  • Broad understanding of contracting and procurement processes, project accounting, environmental record keeping & reporting, and a strong commitment to safety.
  • Strong analytical and organizational skills for use in organizing and summarizing environmental, cost, and task data.
  • Knowledge of Arconic organization, policies, procedures and programs.
  • Demonstrated PC skills are preferred, including: Excel, Word, PowerPoint, Access and Outlook/Calendar.
